Privacy Policy
This Privacy Policy explains how Cobalt Communication Solutions Ltd (“Cobalt”, “we”, “us”) collects and uses personal information when you visit our website ( https://cobalt.so ) or get in touch with us through it. It sits alongside our Cookie Policy, which covers cookies and browser storage in more detail.
Cobalt is the data controller for the personal information described here. If anything below is unclear, or you want to exercise any of your rights, contact us at sales@cobalt.so or on 01392 662600.
Who we are
Cobalt Communication Solutions Ltd is an IT and communications provider based at Spitfire House, 27 Dakota Way, Skypark, Exeter, Devon, EX5 2GE, United Kingdom. You can reach us at sales@cobalt.so or on 01392 662600.
The information we collect
This is a brochure website. It has no user accounts, no login and no online payments, so we only collect personal information in a few limited ways.
When you use our contact form, we collect:
- Your name
- Your email address
- Your company name (optional)
- Your phone number (optional)
- The message you send us, and the date and time we receive it
To protect that form from spam, we use Cloudflare Turnstile, which processes limited technical information from your browser to tell real visitors apart from automated bots. The form also includes a hidden anti-spam field that ordinary visitors never see or fill in.
Like any website, when you visit, our hosting provider processes standard technical information — such as your IP address and browser type — in its server logs, so the site can be delivered securely and reliably.
If you choose to accept analytics cookies, we also collect anonymous usage information through Google Analytics. Nothing is collected this way unless you accept — see “Cookies and analytics” below.
How we use your information, and our lawful bases
We use the information from the contact form for one purpose: to read your enquiry and respond to it. We may use your email address or phone number to reply and to carry on that conversation.
Under UK GDPR, our lawful bases are: taking steps at your request before entering into a contract (dealing with a sales or support enquiry you have started), and our legitimate interest in responding to people who contact us and in running a secure, functioning website. For analytics cookies, our lawful basis is your consent, which you can withdraw at any time.
We do not use your contact-form details for marketing unless you have asked us to, and we do not carry out automated decision-making or profiling.
How long we keep your information
We keep contact-form enquiries in our email system for as long as we need them to deal with your enquiry and any follow-up, and for a reasonable period afterwards as a business record. We review the information we hold from time to time and delete what we no longer need. Server logs and analytics data are kept for the limited periods set by the providers involved.
Where your information is processed
Some of our service providers are based outside the UK, including in the United States. Where your personal information is transferred outside the UK, we rely on providers that offer safeguards recognised under UK data protection law, such as the UK's international data transfer arrangements, so your information keeps a similar level of protection.
How we protect your information
The website is served over an encrypted (HTTPS) connection, the contact form is protected by anti-spam checks, and we use reasonable technical and organisational measures to protect the information we hold. No method of transmission over the internet is completely secure, so we can't guarantee absolute security, but we take protecting your information seriously.
Your rights
Under UK data protection law you have the right to:
- Ask for a copy of the personal information we hold about you
- Ask us to correct information that is wrong or incomplete
- Ask us to delete your information
- Ask us to restrict or object to how we use it
- Ask us to transfer your information to another organisation, where that right applies
- Withdraw your consent to analytics at any time
To exercise any of these, email sales@cobalt.so. We'll respond within the time limits set by law, and there's usually no charge.
Changes to this policy
We may update this Privacy Policy from time to time — for example, if we change the tools the website uses. When we do, we'll post the updated version here and change the date at the top, so it's worth checking back occasionally.
How to contact us, and complaints
If you have any questions about this policy or how we handle your information, contact us at sales@cobalt.so or call 01392 662600.
If you're unhappy with how we've handled your personal information, you have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at https://ico.org.uk/make-a-complaint/ — though we'd appreciate the chance to put things right first.
